Work Orders

Creating and Managing Work Orders

  1. Click on the Work Order button in the top right corner to start the process of creating a new work order, or click on the New button within the Work Orders page.
  2. Enter the details of the work order in the appropriate fields.
  3. If necessary, click More and add details about the asset in the corresponding fields.
  4. Click Save.

Filtering and Searching Work Orders

  • Choose one of the provided filters: Type, Category, Location, Employees, Suppliers, or Status. Each option opens a dropdown menu.
  • To search for orders, enter letters in the search field.
  • To filter work orders, click Columns. Choose the filter you want to apply.
  • To filter by date, click on the date. Choose the date, month, year, quarter, week, and customize the display as desired.
  • Click on Load more to load more work orders.

Assigning Work Orders to Technicians

  1. Click on the work order code to open the profile.
  2. Find the Executors section.
  3. Click + in the header of the Executors section and select one of the offered suppliers as the executor.
  4. Click Save.

NOTE: When creating an order, you can add executors. By clicking on the More option, find Executors, and add one of the offered executors, whether they are technicians or suppliers.

Assigning Work Orders to Suppliers

  1. Click on the work order code to open the profile.
  2. Find the Executors section.
  3. Click on the + button in the header of the Executors section and select one of the offered suppliers as the executor.
  4. Click Save.

NOTE: After these steps, the supplier will receive a special link via email, allowing them to access the work order without the need to log in to the Metrikon system. The supplier will have access only to the assigned work order, and other functionalities of the Metrikon system will be beyond their reach.

Adding Materials to Work Orders

  1. Click on the work order code to open the profile.
  2. Find the Materials section.
  3. Click on the file upload button in the header of the Materials section.
  4. Choose the file you want to upload and click Open.

Adding Reports to Work Orders

Here are the steps to follow when adding a report to a work order:

  1. Click on the work order code to open the profile.
  2. On the work order profile, find the Report section and click on + in the header.
  3. Enter text or a document and save the changes.

TIP: Enter relevant information about the project's progress, including the date, description of activities performed, achieved results, and any difficulties encountered.

NOTE: At any time, you can view or update reports by clicking on their title in the Reports section.

Adding Additional Costs and Labor Costs to Work Orders

On the Costs page, you can see all items, additional costs, and labor costs spent on the work order.

  1. Click on the work order code to open the profile.
  2. Click on the Costs tab.
  3. When adding costs, click on the + button in the header of the Consumed items or Additional costs section depending on what you want to add.
  4. Enter the necessary information and save the changes.
  5. To add labor costs to the work order, on the order profile, find the button to the left of the Start button.
  6. Enter the executor and work time on the work order and click on +.

NOTE: If you enter a value for additional costs in another currency, it will be converted to your company's currency according to the exchange rate on the day of adding the additional cost.

Adding Tasks and Checklists to Work Orders

  1. Click on the work order code to open the profile.
  2. On the work order profile, find the Tasks section and click on the + button in the header.
  3. Enter the details of the new task in the appropriate fields and click Save.
  4. If you are adding a checklist, click on the Add Checklist button next to the + button, enter the name of the checklist item from the dropdown menu, and click Save.

Managing the Schedule of Work Orders

  1. Click on the work order code to open the profile.
  2. Next to the Work Orders tab, find the Calendar page and click on it.

TIP: Review the calendar in different views: monthly, weekly, or daily.

  1. Add a new work order by clicking on the Work Orders button, sliding on the calendar to choose the date and time, or manually entering a new work order by clicking on the appropriate date.

TIP: Search for work orders based on default details such as type, category, location, or executor to find and manage all the work orders you need.

Tracking Progress and Completion of Work Orders

  1. Click on the work order code to open the profile.
  2. Find the Time section. Here, you will find all relevant information about when the order was reported, when it was created and by whom, estimated duration, deadline, etc.

Categories and Types of Work Orders

  1. In the main menu, click on Settings.
  2. Find the Work Order Category/Work Order Type section.
  3. By clicking on +, enter the category or type of work order.
  4. Click Save.

NOTE: When creating a company, categories for electronic and mechanical work orders are automatically generated, and for types of work orders, preventive, incident, and corrective are generated.
