Creating and Managing Work Orders

  1. In the main menu, touch Work Order Entry.
  2. Enter the work order details in the respective fields.
  3. If needed, touch Additional Information, add details about the work order, and save changes.

NOTE: You can also create a work order on the Dashboard page by tapping the + button. It opens the same form as Work Order Entry. Enter all necessary details and touch Save.

Filtering and Searching Work Orders

To filter the list, do one of the following:

  • For searching work orders, enter letters in the Search Work Order field.
  • To filter by category, type, or location, touch the respective field and select one of the provided categories/types/locations.
  • You can sort orders by selecting All or Mine. The All option includes showing all orders, and the Mine option shows orders you have created and/or are assigned to as an executor.
  • By tapping the filter icon for work orders by status in the application header, you will see how many work orders are in each status.

NOTE: On the Work Orders page, use the date filter for more precise searching.

Adding Materials to Work Orders

  1. Touch the work order card to open the profile.
  2. Find the Materials section.
  3. Touch + in the Materials section header.
  4. Choose one of the file upload options.

NOTE: You can delete the material by long-pressing on the material you want to remove.

Assigning Work Orders to Technicians

  1. Touch the work order card to open the profile.
  2. Find the Executors section.
  3. Touch the + button in the Executors section header.
  4. Choose one of the offered employees as the type of executor.
  5. Touch Save.

TIP: You can delete an executor by long-pressing on the executor you want to remove.

Assigning Work Orders to Suppliers

  1. Touch the work order card to open the profile.
  2. Find the Executors section.
  3. Touch the + button in the Executors section header.
  4. Choose one of the offered suppliers as the type of executor.

TIP: Enter the supplier's email address in the Email Address field. Optionally, you can enter text in the Note section, which will be sent to the supplier as part of the notification.

  1. Touch Save.

NOTE: After these steps, the supplier will receive a special link via email that allows them to access the work order without the need to log in to the Metrikon system. The supplier will have access only to the assigned work order, and other Metrikon system functionality will be beyond their reach.

Adding Material and Labor Costs to Work Orders

On the Costs page, you can see all used items, additional costs, and labor costs on the work order.

  1. Touch the work order card to open the profile.
  2. Touch Costs at the bottom.
  3. When adding used items, touch the + button in the Used Items section header.
  4. Enter all necessary details and touch Save.
  5. When loading additional costs, touch the + button in the Additional Costs section header.
  6. Choose the name of the additional cost from the dropdown menu or touch + next to the search field to add a new cost.
  7. Enter the value of the additional cost and touch Save.

NOTE: If you enter a value in a different currency, it will be converted to your company's currency at the exchange rate on the day of adding the additional cost.

NOTE: By tapping the barcode icon when adding items in the Used Items section, you can scan the item with a product code precisely indicated.

Adding Reports to Work Orders

  1. Touch the work order card to open the profile.
  2. On the work order profile, find the Reports section and touch the + button in the section header.
  3. In the Add Work Order Report window, enter the text.

TIP: Enter relevant project progress information, including the date, description of activities performed, achieved results, and any difficulties encountered.

  1. Touch Save.

NOTE: At any time, you can view or update reports by clicking on their title in the Reports section.

Monitoring Progress and Completion of Work Orders

On the Work Orders page, you will find all completed work orders, while on the Dashboard page, you will find open work orders.

  1. Touch the work order card to open the profile.
  2. Choose the order status from the dropdown menu.

NOTE: If you choose, for example, the Paused option, enter the pause description or choose one of the provided reasons.

  1. After initiating the work order and now it's time to finish it, on the work order profile, find the symbol next to the Start button to complete the work order.
